At In Motion Gorilla Safaris, we strive to ensure that every journey is professionally organized, comfortable, and memorable. The following Terms and Conditions outline the policies governing our safari services. By confirming a booking with In Motion Gorilla Safaris, you acknowledge that you have read, understood, and agreed to these terms. Booking Arrangements
All safari arrangements organized by In Motion Gorilla Safaris are conducted in cooperation with a network of carefully selected independent suppliers such as hotels, lodges, transport providers, national parks, and other service providers. These partners assist in delivering transportation, accommodation, meals, excursions, and related travel services throughout the safari experience.
The information contained within client itineraries is prepared using the most current and accurate details available at the time of booking. While every effort is made to ensure accuracy, the company cannot be held responsible for changes made by third-party suppliers or for minor typographical errors that may occasionally occur.
Certain activities, particularly flight reservations and gorilla trekking permits, require specific personal information in order to be secured. Clients are therefore required to provide their full names as they appear in their passports, along with nationality and passport number. This information must be accurate to avoid delays or complications with reservations.
Before confirming a safari, clients are encouraged to inform In Motion Gorilla Safaris of any special preferences or requirements. These may include dietary needs, medical considerations, physical disabilities, or other personal requests that may enhance the safari experience. While the company will make every reasonable effort to accommodate such requests, fulfillment will depend on availability and operational feasibility.
Safari packages are subject to availability until officially confirmed. Many lodges and camps across East Africa have limited capacity, particularly during peak travel seasons. For this reason, early booking is strongly recommended to secure preferred accommodation and permits.
From time to time, guests may wish to modify their reservations. In Motion Gorilla Safaris will endeavor to make any requested changes whenever possible. However, any adjustments may result in additional costs depending on supplier policies or operational expenses, and these costs will be reflected in an updated invoice.
In rare circumstances, unforeseen factors may require adjustments to a confirmed itinerary before a client’s arrival. Such situations may include operational issues, supplier availability, or environmental factors. Should this occur, In Motion Gorilla Safaris reserves the right to revise elements of the itinerary such as transportation, accommodation, or activity scheduling. Clients will always be notified as soon as possible if changes become necessary.
Safari Pricing
Safari prices are quoted according to the specific itinerary provided to the client. Unless otherwise stated, the cost generally includes accommodation in lodges, hotels, camps, or guesthouses; meals as indicated in the itinerary; scheduled sightseeing and excursions; national park entrance fees; ranger fees where applicable; airport transfers; ground transportation; services of a professional English-speaking driver-guide; and bottled mineral water provided in the safari vehicle.
Certain expenses are not included in the safari price unless clearly stated. These typically include international and domestic flights, visas and passport fees, meals not specified in the itinerary, beverages other than the mineral water provided during travel, tips and gratuities for guides and hotel staff, laundry services, travel insurance, and any other personal expenses incurred during the trip.
Prices displayed on the company website or quoted during initial inquiries are subject to change until a reservation is formally confirmed. Changes in exchange rates, fuel prices, government taxes, park entry fees, or accommodation tariffs may affect the final safari cost. While In Motion Gorilla Safaris makes every effort to maintain stable pricing, the company reserves the right to adjust prices where such fluctuations occur.
Conduct and Operation of the Safari
One of the most remarkable aspects of an African safari is the opportunity to observe wildlife in its natural habitat. While our guides and rangers do their best to maximize wildlife sightings, animal behavior is unpredictable and sightings cannot be guaranteed. Guests are expected to follow all instructions provided by their driver-guides and park rangers in order to ensure their safety and the protection of wildlife.
Gorilla and chimpanzee trekking permits allow guests to participate in the tracking experience but do not guarantee that the animals will always be clearly visible, as they move freely within their forest environments.
Accommodation during the safari is typically arranged on a twin or double occupancy basis in rooms, tents, or bandas, usually with private bathroom facilities. Single rooms may be available upon request and may incur an additional supplement. However, availability cannot always be guaranteed due to limited room capacity in certain locations.
While every effort is made to secure the accommodations listed in the itinerary, In Motion Gorilla Safaris reserves the right to substitute accommodations with alternatives of similar or higher quality should circumstances require. In cases where a comparable property is unavailable, the company may suggest a higher-category alternative, which may involve additional charges.
Transportation throughout the safari will depend on the size of the group and the terrain being traveled. Vehicles are carefully maintained and prepared for safari conditions, but delays may occasionally occur due to mechanical issues, punctures, or challenging road conditions typical in remote wilderness areas.
All safari vehicles are driven exclusively by qualified and experienced driver-guides employed or contracted by In Motion Gorilla Safaris. Their decisions regarding routes, schedules, and safety matters are final, as they are based on professional judgment and extensive knowledge of local conditions.
Occasionally, circumstances beyond the company’s control—such as severe weather, road closures, security concerns, or changes in park regulations—may require adjustments to safari routes, accommodations, or scheduled activities. In such cases, In Motion Gorilla Safaris will make suitable alternative arrangements to ensure the continuation of the safari experience wherever possible.
The company also reserves the right to engage subcontractors or partner companies to deliver certain services where necessary to maintain operational efficiency.
For the safety and comfort of all participants, In Motion Gorilla Safaris reserves the right to refuse participation in or continuation of a safari for any individual whose behavior poses a risk to others, causes disruption, or damages property or the natural environment. In such cases, no refund will be provided for unused services.
Payment Policy
A safari reservation is confirmed only after the company receives a deposit of 40% of the total program cost. However, gorilla trekking permits must be paid in full at the time of booking because they are issued by national park authorities and must be secured in advance.
The remaining balance of the safari cost must be paid no later than forty-two days prior to the scheduled arrival date, unless alternative arrangements have been agreed upon in writing.
Bookings made within forty-two days of travel require full payment at the time of confirmation. If payment is not received within the specified timeframe, In Motion Gorilla Safaris reserves the right to cancel the reservation.
Payments can be made through bank transfer, VISA credit card, or cash prior to the start of the safari. Credit card payments incur a service charge of five percent to cover processing costs. Clients are responsible for any international banking or transaction fees associated with their payment method.
Cancellation and Refund Policy
All cancellations must be submitted in writing and will be considered effective on the date they are received by In Motion Gorilla Safaris.
For standard individual and group tours, cancellations made between ninety and forty-five days before the safari start date will receive a refund of seventy percent of the amount paid, with thirty percent retained as a cancellation fee. Cancellations made between forty-five and ten days before departure will receive a sixty percent refund. Cancellations made within ten days of the safari start date are non-refundable.
Luxury tours follow slightly different policies due to the nature of high-end accommodation contracts. Cancellations made more than forty-five days before departure receive a seventy percent refund of the advance payment. Cancellations made between forty-five and ten days before departure receive a fifty percent refund, while cancellations within ten days of travel are non-refundable.
Gorilla trekking permits and airline tickets are strictly non-refundable because they are issued directly by government authorities and airline carriers.
No refunds will be granted for unused services, missed activities, late arrivals, or failure to participate in any portion of the itinerary.
Complaints and Feedback
In Motion Gorilla Safaris is committed to delivering exceptional service and memorable safari experiences. If any concerns arise during the safari, guests are encouraged to report them immediately to the company’s representative or the relevant service provider so that the issue can be addressed promptly.
Should the matter remain unresolved, clients are requested to submit their complaint in writing within thirty days after the completion of the safari. This allows the company’s management team to review the situation and provide an appropriate response.
Complaints that are not reported within the specified procedure and timeframe may not be considered for further review.
Liability and Travel Responsibility
While In Motion Gorilla Safaris takes every reasonable step to ensure that safari arrangements run smoothly and safely, the company works with independent suppliers and cannot accept liability for errors, omissions, or failures on the part of those service providers.
The company shall not be held responsible for any loss, damage, injury, or delay arising during the safari. This includes loss or damage to personal belongings or baggage.
In Motion Gorilla Safaris is also not liable for events beyond its control, including but not limited to flight delays, border closures, strikes, civil unrest, natural disasters, extreme weather, government actions, mechanical breakdowns, or other force majeure circumstances.
Clients are responsible for ensuring they possess all required travel documents including valid passports, visas, vaccination certificates, insurance policies, and other permits required for travel within East Africa.
Travelers are strongly advised to obtain comprehensive travel insurance prior to departure. Such insurance should cover medical emergencies, trip cancellations, lost luggage, and evacuation if necessary.
All transportation services operated by In Motion Gorilla Safaris comply with the laws and regulations of the countries in which they operate. Any legal claims arising from safari operations will be subject to the jurisdiction of the relevant courts where the incident occurred.
